Court hire considerations and instructions

When utilising the court booking software, there are a few items that you should consider:

  1. Clear and concise instructions to access the courts and operate lights (if required).
    Instructions will display on the booking confirmation screen and will be sent in the booking confirmation email. Click here for a support guide on entering booking instructions.
  2. Communicate changes to players. If you are using a combination lock and have changed the combination – ensure you communicate these changes to any player with an existing booking and your club members. Within the software, you can re-send the confirmation email with the updated access instructions.
  3. Easy-to-use keyless locks are the ideal court access solution. You want players to spend time on the courts, not outside the gate. Click here for information on the Igloohome lock which we suggest using. We highly suggest venues avoid any of the following:
    1. having to pick up keys from a house or local business
    2. using a dial combination lock
    3. requiring forms of I.D. as part of deposit
  4. Be willing to spend extra $ for value. Cheap locks can be easily vandalised or manipulated. Invest in a lock from a reputable brand; you will have the peace of mind that you will not need to replace it every few weeks.
  5. Change combination regularly. If you’re required to enter a combination code/pin to access the courts, we suggest this combination is changed regularly. It does not take long for the word to spread within the community that the local tennis courts can be accessed by entering 1234 at the gate. By changing the combination regularly, you will ensure that the players who are using the courts have made a booking online.
  6. A solution for operating lights. If you are making courts available at night, you will need to ensure players have access to operate the court lights. Having a club volunteer attend the venue to turn the lights on and off is not a sustainable solution – consider a key that is contained in an additional combo lock that can be accessible to players and allows them to operate the lights for their booking.
  7. Access to toilets is desirable. To enhance the player’s experience, providing facilities such as toilets and drinking fountains are desired. Use a secondary lock located inside the premises that contains the key to toilets – instructions to access this lock would also be required to be provided upon booking confirmation. If there are public toilets in close proximity to the venue, then access to toilets at the venue isn’t necessary.
  8. Educating players is important to encourage the right behaviour. Provide the necessary information to players that is relevant to your venue. For example, should players re-lock the gate behind them? Should they keep the lights on for other people?
  9. Visible and clear court signage is essential for players to identify which court they’re to be playing on. Clear signage of court numbers is important to ensure when players arrive at the venue, that they go direct to the court they’ve booked online and to avoid any confusion with other players.

 

Note:

These considerations may not be applicable at venues with the Book a Court or other gate access technology solutions installed.
