Stripe & internet security note/guidance for clubs

Greetings from Tennis Australia! 🎾

 

As we continue our journey in the digital age, we felt it’s a good time to touch base on some best practices to keep your club’s financial transactions smooth and secure.

 

Firstly, a quick note on Stripe, the payment gateway integrated with our club management platform, Clubspark:

 

While Tennis Australia and your Member Association have facilitated the introduction of Stripe through Clubspark, please remember that the actual contract with Stripe is directly between your club and Stripe. We’re here to help with support wherever we can, but it’s essential that clubs have a clear understanding with the gateway provider. We’ve included some links here re how you access support from Stripe and your Member Association / Tennis Australia.

 

For enhanced security, we strongly recommend that if you have connected your Stripe account to Clubspark, refrain from using the same Stripe account on other websites, forms, or platforms.

Just like you’d use different keys for different locks, it’s best to keep online accounts separate to ensure if one is compromised, others remain safe.

 

In addition, please click here if you’d like to know more information about Stripe’s inbuilt fraud protection system, Radar. Radar is currently an additional benefit that Stripe can provide for a small fee on any transactions identified as potentially suspicious.  Note that Radar has been applied by default to many of the Stripe accounts.  Further, some of these have had their Radar fees waived to date.  We are working with Stripe and ClubSpark on a simplified pricing and application model of these fees.  If in doubt whether these are being charged to your account, please reach out to the TA support team. To add or remove Radar from your transactions, please reach out to Stripe directly at https://support.stripe.com/contact/login.

 

Reminder of some general Internet Safety Tips:
1. Regularly update passwords: It might sound basic, but updating passwords regularly and using strong, unique combinations can make a significant difference, and don’t share passwords.
2. Be cautious with emails: Avoid clicking on suspicious links, even if they seem to come from familiar contacts.
3. Secure your systems: Ensure that all your devices have the latest security patches and updates. If you’re unsure, consider seeking technical advice.
4. Educate & Train: Consider providing basic digital security training or resources for your team, especially if they access club systems.

Remember, while the online world offers fantastic opportunities for our tennis community to grow and engage, it’s always best to serve with caution! 😉

5. Need Help with Stripe – What to do if my Stripe account is restricted

 

When Sign In – Contact Stripe Support 

 

Your Stripe account may become restricted if you do not verify your personal and business details within the amount of time set out when creating your account.

Stripe require anyone who set-up an account to verify the below items to allow payout and payments:

  • Key business contact identity verification
  • Business entity verification

Your Stripe dashboard will tell you which documents are required to completed you account verification. In Australia the accepted documents by Stripe are as follows.

2. Stripe – Platform Fees Explained

 

If your club is affiliated, there is no upfront cost when creating an account with Stripe… However, when using Stripe linked to a Tennis Australia platform, a fee is incurred on all online transactions.

That fee is taken from the total transaction amount.

The total fee is made up of a Stripe fee + an admin fee and is taken from the overall sale amount. There may be extra charges for AMEX cards or overseas cards.

 

The Stripe fee has been updated as of 23/10/24, the new fee structure is as follows:

 

For domestic cards:

2.6% + 30c per transaction

For International cards:

4.4% + 30c per transaction

 

Please note:

We are aware that in some cases there might be questions/issues about fees charged.

If there are issues with fees charged, please report this to Customer Support, along with the following info from within Stripe (top left side of your Stripe Dashboard):

  • The Account Name (ie, what your account is called in Stripe, for example: “Sunnyside Park Tennis Club Inc”
  • card used (Visa, Mastercard, Amex)
  • card origin (Australia, or other)
  • the “payment intent” id, the id always starts with “pi_”

 

We are dependent on Stripe to investigate these issues and Finance has escalated investigation of anything fee related.

3. How to set up a Stripe account: what do I need

 

This is how you set up your club, venue or coaching organisation’s Stripe account. You can then use your Stripe account to receive payments online for multiple Tennis Australia systems including: Clubspark, League Manager, Tournament planner etc

For Clubspark

  • Stripe is a payment gateway that enables online payments (ClubSpark but also for other applications)
  • When you set up a Stripe account, you’re setting up an agreement between you / your business and Stripe.
  • ClubSpark have chosen Stripe as the platform provider for online payments. 
  • When you click the Stripe set up link in ClubSparkClubSpark connects your Stripe account for use on your ClubSpark platform. You can use Stripe for other things in your business also. If you do this, we’d strongly advise you always make sure any other use is and remains secure. 

How ClubSpark/ Stripe payments work

Your client goes to your ClubSpark website 

> They pay online through the Stripe pop up window 

> Payment is authorised or declined 

> If authorised, the funds are deducted from the client’s card and are paid to Stripe 

> Stripe deduct fees (Stripe service fees, ClubSpark integration fee) + tax & pay you the balance 2 working days later (first payment takes longer)

⚠️ Important:
When creating an account with Stripe, please use a generic email address that can be easily accessible by other/future admins, and not a personal one. Find more information here: Getting started with Stripe: create or connect an account: Stripe: Help & Support

When registering your account please ensure you use your businesses name and not an email address for the company/account name (e.g. Tennis Australia Limited).

Depending on the type of your business, Stripe will ask the following information:

  • Type of business. Tip: If your business is not for profit, please select this option.
  • Business details (address, phone, type of business, EIN, website URL, business description)
  • Key contact person at the business and their details
  • Business registration information, including ABN or other Tax ID
  • Credit card statement and Business bank account details to receive and accept payments.

Once your account has been set-up, you will be able to access your Stripe dashboard, this tells you which documents are required to complete your account verification.

In Australia the accepted documents by Stripe are as follows.

  • Acceptable forms of identification
    Passport
    Driver Licence (Driver’s license) — scans of front and back are required.
    Photo Card — scans of front and back are required.
    New South Wales Driving Instructor Licence — scans of front and back are required.
    Tasmanian Government Personal Information Card — scans of front and back are required.
    ImmiCard — scans of front and back are required.
    Proof of Age card — scans of front and back are required.
    Australian Defence Force (ADF) identification card (Military ID) — scans of front and back are required.
  • Acceptable forms of address verification
    Driver Licence (Driver’s license) — scans of front and back are required.
    Photo Card — scans of front and back are required.
    Tasmanian Government Personal Information Card — scans of front and back are required.
    ImmiCard — scans of front and back are required.
    Medicare document (Government health insurance document)
    Centrelink document (Government pension document)
    Australian Taxation Office letter or assessment (Government tax document)
    Council rates or land valuation notice (Property tax document)
  • Acceptable forms of legal entity verification
    Australian Business Number Confirmation (Certificate of Registration)
    Australian Securities and Investments Commission (ASIC) Record of Registration (Certificate of Registration)
    Australian Business Register Extract (Commercial Register Extract)
    Certificate of Registration of Change of Name
    Australian Charities and Not-for-profits Commission Extract (Charity or Non-Profit Extract)

Please ensure you verify your account in a timely manner as you risk your account to be restricted and suspended by Stripe until verification has been completed.

Support options

  • Stripe support (webchat), email, online support docs
  • TA user guides, Clubspark fees, general support. A very small number of TA support teams can access your Stripe account to assist you with support queries/troubleshooting. This group is very limited – so detailed or escalated issues need to go through Stripe (Stripe will not discuss your account or any transactions with us as your account is between you and Stripe).

 

1. What is Stripe?

 

Stripe is a payment gateway used on Tennis Australia platforms that allow merchants (Clubs, Coaches, Organisations) to receive card payment securely online for their goods and services.

Stripe is a global organisation used by millions of businesses, manage 135+ currencies and operate in 35 countries.

Stripe has been audited by a payment card industry certified auditor and is certified to payment card industry Service Provider Level 1. This is the most stringent level of certification available in the payments industry.

In order to receive payments online with Tennis Australia platforms, you are required to have a Stripe account.

4. Connect your Stripe account to ClubSpark

Platform/Product/Module: Stripe & ClubSpark
Function: Connect Stripe to ClubSpark to allow online payments

 

To be able to accept online payments at your club, your Stripe account has to be linked to ClubSpark.

Head to the Admin Area.
Select the Booking or Programs module from the left hand side menu.

 

2.

Click Setup you account.

 

3.

On the next page click Register with Stripe.

 

4.

You will then be taken to the Stripe account setup page.

It is important that you already have an existing accountclick on the button in the top right to Sign In and connect your existing Stripe account to ClubSpark.

 

 

Note:
If you do not have an existing Stripe account, then fill out the Stripe form and click Authorize access to this account.

 

5.

You will finally be taken back to ClubSpark, where your Stripe account has been connected.

 

 

You club is now ready to take online payments.
