We’re excited to share that a major upgrade to the Clubspark Booking Module is now live in all venues and all venues are once again visible on Play.Tennis.com.au
This is part of our ongoing investment in making court bookings easier, faster, and more flexible for clubs and coaches.

🆕 What’s changing?

  • A more powerful, easier-to-manage court booking experience
  • Greater control for clubs and coaches to set up and manage bookings
  • Faster access to new features as they roll out
  • Performance improvements and bug fixes

💡Key Changes You’ll Notice in This Upgrade💡

  • Configuration button is now called Settings and can be accessed using the new navigation bar on the left-hand side
  • Archived courts will not be migrated across to the new module. You will need to re-add these courts if they don’t appear as a resource. A new ‘delete’ function will be available, replacing the archived function.
  • Court access & lighting instructions have been merged into one ‘confirmation email’ text box – we suggest reviewing these instructions and updating as necessary. This setting is now called Booking emails.
  • Schedules & rulesets will automatically be migrated across to the new module for you, however you may notice a change in colour of the ruleset/s.
  • Canceling multi-court & recurring bookings work differently in the new module. Cancelling a multi-court or recurring booking mid-play will completely remove the session from the booking sheet and the booking will be moved to the ‘Cancelled’ tab in the admin area.
  • Additionally, as a result of the above point, you may notice extra records of cancelled bookings in the admin area. All future dates of recurring bookings that were cancelled will be displayed in the ‘Cancelled’ tab, previously these cancelled bookings would not display for future occurrences.
  • Booking with no contact is now possible when making a booking as an admin. If you want to assign a contact to a booking, ensure you select a contact using the Contact field box (search function or select ‘me’). Note, for any venues with gate access and/or lighting integration (i.e. Igloohome, VAS/Protege or BCS), a booking pin will still be generated for bookings with no contact assigned.
  • New sub-categories are available when booking as an admin. E.g. when selecting the booking category as Coaching, you will have sub-categories to select from a drop-down menu.
  • The Dashboard module will be slow to populate data correctly across widgets, tables and reports. Please allow a few days for this to display accurately.

There has been a change to the URL, which may affect existing hyperlinks and bookmarks.  A redirect has been implemented to ensure continued access.

Clubspark Update – Coaching Credits Release 06 DEC 2023

Dear coach admins,

We are pleased to announce that coaches can now apply credits to player accounts for bookings and courses. These credits can be given in place of a refund or in case of issues like rain/weather or cancelled courses. You can apply credits to multiple players or individual players.

The benefits of offering credits is that you don’t need to complete partial refunds or create additional sessions to make up for unplanned, circumstances outside of your control.

 

Things to know before getting started…

  • You can apply a credit to a player or group of players booked into a program
  • You can apply a credit for one or multiple program bookings
  • You can apply a credit to a booking which was made using a credit
  • A customer can use their credit across any of your programs, including holiday camps
  • You can’t apply a credit if the original booking was FREE
  • You can’t apply a credit if the customer doesn’t have an existing booking/payment – e.g. as a gift
  • A booking made with a credit that is then cancelled will not automatically reimburse the credit to the player

Court Hire – Bookings Removed/Replaced Issue *RESOLVED*

We’re wanting to provide some information regarding a current issue where bookings may be removed/replaced on the Clubspark booking sheet/module due to two bookings being booked at approximately the same time.

The scenario where this may occur is as follows:

  1. Player 1 selects court 1 for 15:00 – 16:00 and is sitting on the checkout page.
  2. Player 2 selects court 1 for 15:30 – 17:30 and proceeds to book the court.
  3. Player 1 then proceeds with booking court 1 for 15:00 – 16:00.

Both players will successfully make their booking and receive the subsequent booking confirmation email, however, the player 2 booking will be removed and replaced by player 1 on the booking sheet/module due to this issue.

We are currently working with Clubspark to fix this issue, and will be proactively contacting affected bookings to attempt to minimise the impact to clubs and players as much as possible.

Please note that this issue is not affecting every booking being made.

ClubSpark Update – 7 March 2023

Dear Club Administrator,
 
We’re pleased to advise of some ClubSpark platform improvements that have been made for club administrators.
These include more information and functionality added to user profiles, expanded functionality for using tags, improvements with managing memberships, and some refinements to using the website module.
For venues / clubs that use the programs module (or who wish to do so) you’ll also see some significant new features for both programs and holiday camps/clinics including a new discount /promo code feature and more.

1. User profiles updates (Contacts Module):

The information shown on user profiles have been expanded and improvements include:
  • NEW: A junior’s profile (or multiple junior’s profiles) now provides information of the ClubSpark profile for their parent/guardian, and vice versa. This is a clickable link which means you can click from the parent profile to the child, child to parent etc. You can also click to easily add a parent or child to someone’s profile.
  • NEW: A persons’ coaching +program bookings (current and historical) are now also shown on their profile. Plus, you can click from the profile through to the program.
  • IMPROVED: A list of persons’ memberships (current and historical) – the layout and look / feel has been improved making it easier to find information)

 

2. Administrators: Using Tags and new Role

 

  • NEW: You can now add and remove tags for multiple users, in bulk.
  • NEW: You can now set up a tag for each membership package, and these will automatically be applied to members as they sign up.
  • NEW: There’s a new admin role in town! It’s called Program Register Administrator; with this more limited access, users only be able to access, mark attendance and send emails for programs they’ve been assigned to as a coach. 

 

3. Membership Module updates

 

  • IMPROVED: Admins can now format and customise the confirmation message that appears on the screen and via email when new members join. You can now add headings, bold text/italics. line breaks, line breaks and links to your membership confirmation messaging. (Hint – if you wish to send a document such as a welcome pack, you can load the document to your ClubSpark file library and add a link in your email. The member always receives the up to date/latest information).
  • IMPROVED: The membership table and downloadable membership report now shows an age column/ the age of all members. Plus, when you click through to a junior, family or group package type, you can now see each main contact’s name and email address on the summary page, and you can export these to a downloadable report.

 

4. Programs/ Sessions / Camps – Programs Module plus a NEW discounts module

 

  • NEW: As a club admin, you’ll now be able to create programs that you can make available to members only.
  • NEW: There’s a new module that allows you to create a voucher / discount code that any members, players or guests can use when booking coaching sessions, programs and holiday camps/clinics. You can use this to offer early bird promotions, credits for sessions and classes etc. Follow this support guide to find more info about it.
  • IMPROVED: When setting up holiday clinics + camps, you can now add more than one skill level for each clinic and or camp, making it easier for you to refine and promote online bookings.
  • IMPROVED: Admins can now archive program categories to help clean up your admin panel.
  • IMPROVED: You may already know you have the ability on your website to show junior and adult programs on one admin page and one webpage that users will see, plus you have the ability to split junior and adult programs across two webpages (with users being able to see a set of search results for each). The button you use to ‘split’ Programs webpages has moved. It was previously in the website module under settings. It’s now on the programs page in the admin website. This makes it much easier to know about and find.

 

5. Website changes and the Website Module:

 

  • IMPROVED: It’s easier to add a custom page (using the new one click button)
  • IMPROVED: It’s faster/ easier to save Website changes (save button now hovers and is visible on the screen you’re on – you don’t need to scroll down to save).

ClubSpark Update – 13 December 2021 (QuickBook, Open Court Session and Events)

As we prepare for Summer, we’re pleased to announce the latest updates to Court hire using the National Play Tennis website (play.tennis.com.au), ClubSpark Events and Open Court Sessions. These include:

 

1. National Play Tennis Website:

Improved search on Play.Tennis.com.au

  1. We’ve made some changes behind the scenes that make it even easier for people to find a court near them when they’re searching on the National Play Tennis website. See the online user guide Get Set Up on Play.Tennis.com.au if you’d like to double check that your courts are set up to appear on the National Play Tennis Website for a great summer of tennis.

Addition of a new “Quick Book” feature to allow players to filter court search results & quickly book!

  1. We’ve added a Quick Book filter button to the search results page of the National Play Tennis Website.
  2. Players can toggle this button on or off. It gives them the choice view to all clubs/courts, or toggle to only show courts they can book ‘quickly’. Meaning they don’t need to go to a different website to book.
    All venues that use ClubSpark for court hire will automatically appear and be able to book quickly.

 


2. Events – set up and admin:

  • There’s now more options plus longer durations to choose from when you’re setting up different Event sessions.
  • Plus, you can now see the name of each event listed on the Event admin summary page, making Event set up and admin a bit easier. Previously all events were listed as ‘Standard’.
  • We’ve also made some improvements to how Event data appears in Stripe – the event name and date are now passed from ClubSpark to Stripe, making it easier to distinguish payments for different events


3. Open Court Sessions – now appear on your public Club Website.

  • Any Open Court Sessions programs you set up will now appear on the Programs page of your ClubSpark club website!
  • Previously these appeared on the Play.Tennis.com.au national website only
  • This means you can now promote Open Court Sessions via your club website, plus more players closer to you (or who use your website) can now more easily find and book directly into your Open Court Sessions programs.

 

4. Minor bug fixes & performances improvements 🚀

  • The functionalities in your club’s membership module should now be faster than ever!
